Privacy Policy

Last updated: 5 June 2026

This Privacy Policy explains how The Dwarrow Scholar collects, uses, stores, and protects personal data when you visit www.dwarrowscholar.com, use any of its subdomains, use Scholarium, consult the online dictionary, read library materials, download files, submit corrections, or contact The Dwarrow Scholar.

This Privacy Policy applies to: www.dwarrowscholar.com; all subdomains of dwarrowscholar.com; the online dictionary; Scholarium; the public library; downloadable materials, fonts, tools, and related resources.

1. Data controller

The data controller for this website and its related services is:

The Dwarrow Scholar
Contact: info@dwarrowscholar.com

This is the contact address for privacy questions, data requests, correction requests, deletion requests, and other matters relating to personal data.

2. What personal data is collected

The type of data collected depends on how the website is used.

3. Website visit data

When someone visits the main website or one of its linked applications, technical data may be processed automatically by the relevant hosting provider or platform infrastructure. This may include:
• IP address;
• browser type and version;
• device type;
• operating system;
• date and time of visit;
• pages requested;
• security logs;
• error logs;
• basic server logs.

This data is used to keep the website functional, secure, and available.

The Dwarrow Scholar does not use Google Analytics, Cloudflare Analytics, Plausible, Matomo, Vercel Analytics, Netlify Analytics, advertising cookies, or behavioural tracking tools.

4. Scholarium account data

Users can create a Scholarium account. A real name is not required. In fact, Scholarium allows users to use a chosen or Dwarven-style profile name.

To sign in, users need a Google account or email-based sign-in through the authentication system.

Scholarium may process the following account data:
• email address;
• login identity provided through Google or email sign-in;
• chosen display name;
• avatar;
• selected profile relation, such as son of, daughter of, or child of;
• current course level;
• student or admin role;
• account status;
• basic authentication/session data.

Account creation is automatic. However, The Dwarrow Scholar may remove or restrict accounts at any time where needed, for example in cases of abuse, inappropriate names, misuse, security concerns, or breach of the Terms of Use.

5. Passwords and authentication

Passwords are not stored directly by Scholarium.

Authentication is handled by Clerk, a third-party authentication provider. Clerk may process data necessary for login, account creation, session management, verification emails, and related authentication functions.

Authentication-related emails, such as verification or login emails, may be sent by Clerk.

6. Learning and progress data

Scholarium stores learning progress so that students can continue their course and see their development.

This may include:
• lessons completed;
• course level;
• exercise scores;
• marks;
• progress status;
• exam or assessment status where applicable;
• badges, certificates, or completion indicators where applicable;
• admin feedback or teacher notes;
• messages sent to the student through the Scholarium letterbox.

Scholarium does not store full answer history for exercises.

Exercise answers are checked automatically against predefined correct answers set by the admin. Scores are educational feedback within the platform. Scholarium does not issue externally accredited certificates.

Exam results, where used, are reviewed and manually sent by an admin before the student sees them.

7. Scholarium letterbox

Scholarium may include a letterbox or internal message system through which The Dwarrow Scholar can send feedback, notes, corrections, or other course-related messages to a student.

Messages sent through the Scholarium letterbox may be stored as part of the student's account and learning record.

8. Account deletion

Students cannot currently delete their own Scholarium account directly.

This is intentional, because learning progress may be hard-won and accidental deletion could permanently remove useful course history.

A student who wants to leave Scholarium or have their account deleted can contact:

info@dwarrowscholar.com

After receiving a deletion request, The Dwarrow Scholar will delete or anonymise the relevant personal data within a reasonable period, unless certain limited information must be kept for legal, security, abuse-prevention, technical, or legitimate administrative reasons.

Once an account is deleted, learning progress, course status, messages, and related account data may no longer be recoverable.

9. Dictionary use

The online dictionary can be used without logging in.

The dictionary does not store search queries and does not track which dictionary entries individual users view.

Users may submit corrections or error reports through the dictionary correction form. These submissions are processed so that reported errors can be reviewed and handled.

10. Library and downloads

The library is public and does not require login.

The Dwarrow Scholar does not intentionally track individual PDF, font, app, tool, or file downloads.

Some technical data may still be processed by the hosting provider or server infrastructure when files are requested, as part of normal website operation, security, and error handling.

Downloads are not restricted to students only.

11. Contact and correction forms

Users can contact The Dwarrow Scholar by email at:

info@dwarrowscholar.com

The dictionary may also include an error correction form.

Contact messages and correction reports may include:
• subject;
• message content;
• sender email address, where sent by email or included in the form;
• technical delivery information;
• any information the sender chooses to include.

Dictionary correction forms are handled through Formspree and forwarded to The Dwarrow Scholar by email.

Contact messages and correction reports are normally deleted after they have been handled, commonly within one or two weeks, unless they are needed for ongoing correspondence, technical follow-up, legal reasons, abuse prevention, or record-keeping connected to a specific issue.

12. Cookies

The website and Scholarium use cookies only where needed for login, session management, security, and basic platform functionality.

These cookies are necessary for the service to work properly. They are not used for advertising, behavioural tracking, or marketing.

Clerk may set authentication cookies as part of login and session management.

No optional analytics cookies or advertising cookies are currently used.

13. Analytics and tracking

• Google Analytics;
• Cloudflare Analytics;
• Plausible;
• Matomo;
• Vercel Analytics;
• Netlify Analytics;

14. Embedded third-party content

The website does not currently embed third-party content such as YouTube videos, Discord widgets, Patreon widgets, Tumblr posts, social media embeds, or advertising widgets.

The website may link to external platforms, such as Patreon, Tumblr, X, Discord, or other websites. Visiting those external platforms is subject to their own privacy policies and terms.

15. Patreon, donations, and payments

Scholarium is free to use.

Users do not pay for Scholarium through the website.

The website may include an optional Patreon link. Patreon support is voluntary. Paid Patreon supporters do not receive extra Scholarium access or extra site access through Scholarium.

Scholarium does not know who is or is not a Patreon supporter. Any Patreon-related membership or supporter information is handled outside Scholarium, for example through Patreon or Discord.

The Dwarrow Scholar does not process payment card details through Scholarium or the website.

16. Newsletters and updates

The Dwarrow Scholar does not currently operate a dedicated email newsletter through the website.

Updates may be shared through external platforms such as Patreon, Tumblr, X, or Discord. Those platforms are governed by their own privacy policies and settings.

Service-related emails connected to authentication, such as login or verification emails, may be sent through Clerk.

17. Hosting and service providers

The Dwarrow Scholar website and its linked applications use different service providers depending on the part of the service being used.

  • Main website hosting: GoDaddy

  • Dictionary application hosting: Replit
  • Scholarium database: PostgreSQL hosted on Replit
